Pricing & billing

How it costs, when it bills, what happens at the end of the trial.

How much does Reconciled cost?

R50 per active team member per month, plus a graduated per-client rate: R50 for the first 50 clients, R30 for clients 51–100, R20 for clients 101–200, R10 for clients 201–500, and R5 for every client beyond 500. All prices exclude 15% VAT.

Is there a free trial?

Yes — 30 days, no credit card required. You get full access to every feature.

What does the AI extraction cost?

Bank statement extraction is metered per token. Typical statements work out to R0.50–R5 each, and the exact rand cost is shown on every extraction in your dashboard before it's billed.

Can I pay annually?

Yes. Pay annually and save 10% on the user + client portion. Use the calculator on /pricing to see your saving.

What happens after the 30-day trial?

Your organisation pauses (data preserved) until you activate a subscription. You'll receive reminders three days before the trial ends and on the day of expiry.

Can I cancel anytime?

Yes — cancel from billing settings. You retain access through the end of the current billing period and have 30 days to export your data after termination.

Getting started

How to set up your firm and your first clients.

How long does setup take?

Roughly 15–30 minutes for the first 10 clients. Reconciled generates compliance tasks for the year ahead automatically once you fill in tax category, year-end, and CIPC details.

How do I add my first client?

Sign in → Clients → New. Enter the client's name, tax reference numbers, VAT category, year-end, and CIPC number if applicable. Reconciled builds the full year's compliance tasks immediately.

Can I import clients from another system?

Bulk CSV import is on the roadmap. For now, clients are added manually — the form is fast once you know it.

Can I invite my team?

Yes. Team page → Invite. Enter their email and role (manager or member). They receive a sign-up link and join your organisation.

AI processing & data

What happens to documents you upload and where they go.

What does the AI do exactly?

When you upload a bank statement PDF, the file is sent to Anthropic's Claude API. Claude reads every transaction (date, description, amount, balance) and returns structured JSON, which we display as editable rows. You verify and export.

Where does my data go?

Documents and database live on our servers. Bank statement contents are transmitted to Anthropic in the United States for extraction only. Full sub-processor list at /sub-processors.

Is my data used to train AI models?

No. Anthropic's data processing addendum prohibits using customer documents for training.

What if extraction is wrong?

Every extracted row is editable before export. You can also re-process a document — the original PDF stays in storage.

Can I delete a document after extraction?

Yes. Documents page → delete. The PDF is removed from disk and the database record removed. Extracted rows are removed alongside the document.

Do you support scanned (image-based) PDFs?

Yes. Claude handles both text-based and image-based PDFs natively. Quality depends on scan clarity.

Compliance coverage

Which SA tax types and obligations are tracked.

Which VAT categories are supported?

All five (A, B, C, D, E). Reconciled generates VAT201 tasks for every period in the cycle for each client.

How does the CIPC business-day window work?

CIPC requires annual returns to be filed within 30 business days of the company's incorporation anniversary. Reconciled calculates that window using a SA business-day calendar (excluding weekends and gazetted public holidays) and shows the exact deadline.

Is COIDA (Workmen's Comp) covered?

Yes. Annual Return of Earnings deadlines are tracked alongside everything else.

Provisional tax for trusts?

Yes. IRP6 first and second payments are generated for individuals, companies, and trusts. Year-end and tax type drive the calculation.

EMP201 / EMP501?

Yes. Monthly EMP201 and bi-annual EMP501 reconciliations for clients with payroll.

What about SARS public holiday math?

Every due date is checked against the SA public holiday calendar. If a deadline falls on a weekend or holiday, Reconciled rolls it correctly.

Security & POPIA

How we treat sensitive client information.

Is Reconciled POPIA compliant?

We follow the eight POPIA conditions: privacy notice, consent capture for AI processing, sub-processor disclosure, activity audit logs, multi-tenant data isolation, and 30-day response to data subject access requests. Read our full posture in our /privacy notice.

Do you have a Data Processing Agreement?

Yes — for client data your firm uploads, your firm is the responsible party and Reconciled is an operator. A DPA is available on request from hello@reconciled.co.za.

Is two-factor authentication supported?

Yes. TOTP via any standard authenticator app (Google Authenticator, 1Password, etc.). Required for super admins.

Can I see who did what in my organisation?

Yes. Activity audit logs record every create / update / delete action with user, timestamp, and originating IP.

Where can I read about cookies?

Our /privacy notice has the full breakdown. Briefly: we use Google Tag Manager on the landing page for analytics, only after explicit consent. No marketing cookies.

Integrations & exports

Getting data out of Reconciled into your accounting software.

Which export formats are supported?

Excel (.xlsx), Sage One, Pastel, Xero, and QuickBooks (Online and Desktop).

Is there a direct API integration with Sage / Xero?

Currently exports are file-based. Direct API integrations are on the roadmap.

Can I export my client list?

Yes. CSV export from the Clients page, or full JSON export of an individual client (right of access under POPIA).

Account & team

Managing users, roles, and the organisation.

What roles are available?

Super admin (full control, billing, team, settings), manager (full operational access), and member (assigned client and task access). Custom roles are not yet available.

Can I deactivate a team member without deleting them?

Yes — Team page → Toggle active. Their history and time entries are preserved; they just lose access.

Can a team member belong to multiple firms?

Each user belongs to one organisation. Multi-org membership is on the roadmap.

How do I delete my account?

Settings → Profile → Delete account. Confirms with your password and removes you from your organisation. If you're the only super admin, you must transfer that role first.
