How onboarding runs
From the onboarding session to go-live in 30 days. We review the plan with you before onboarding starts and record the agreed dates and owners, so everyone knows what happens each week and who is responsible.
30 days
From the onboarding session to go-live
Week 2
Data deadline for your client file
30 min
Weekly touch base, same time each week
90 min
User training, on your live data
- 1Before week 1
Document review
A meeting of about an hour to go through the plan and agree how onboarding will run: your System Champion, the onboarding session date, the weekly touch base, the cut-over date and the data deadline.
- 2Week 1
Onboarding session
Ninety minutes together. We create your users, assign roles and set hourly rates, show you how a client record generates deadlines, and hand over the client import template.
- 3Weeks 1 and 2
Data cleansing
The largest part of onboarding. You export your client list, assign a responsible staff member to each client and complete the Tier 1 fields. The file reaches us by the data deadline at the end of week 2.
- 4Week 3
Validation and import
We validate the file and return a list of exceptions. You correct them, we import your clients, and their deadlines are generated.
- 5Week 4
Training and go-live
Your champion checks a sample of 20 imported clients and signs off. We train all users on your live data, and your practice goes live.
What we need from you
A System Champion. Usually a senior bookkeeper, practice manager or partner. They own onboarding inside the practice, attend every touch base, coordinate the client file and check the imported data.
A cut-over date. Reconciled tracks deadlines from this date onwards. Earlier periods are history, so your dashboard does not open with old returns marked overdue. We recommend the first day of the month you go live.
Tier 1 data for every active client. This is what a client record needs to generate its deadlines:
- Name, email and status
- Entity type and year-end month
- Income tax number and provisional taxpayer status
- VAT number and category, if registered
- CIPC number, registration date and type, for companies and CCs
- PAYE reference, for employers
- Responsible staff member
Names and contact details come from your accounting system export. VAT categories, year-ends, CIPC dates and PAYE references usually sit in eFiling, on CIPC and in working papers, which is why weeks 1 and 2 are set aside for it. Contact details, last submitted dates and employee counts are Tier 2 and can follow after go-live.
Your first 30 days live
- Tier 2 data
- Each staff member completes the remaining fields for their own clients inside Reconciled, within 30 days.
- Custom tasks
- Add recurring work Reconciled does not generate, such as monthly bookkeeping or management accounts.
- Time and billing
- Log time against clients and tasks from day one, so unbilled work is visible from your first month.
- Remaining clients
- Any clients not in the first import come in as a second batch. Go-live does not wait for the last client.
Larger practices. Over 500 clients, we import in batches of up to 300, grouped by responsible staff member. The first batch takes you live; each later batch follows the same validation, correction and import cycle.
Onboarding fee. 50% of your first month's subscription, excl. VAT, split across your first two invoices. It covers the document review, the onboarding session, the weekly touch bases, data validation and import, and user training.
Your client data. The client file is shared through a secure link, never by email, and we delete our working copy once the import is signed off. Your practice remains the responsible party under POPIA; we process the data only on your instruction.
